Welcome to AH Cares LLC (operating as AH Events and AH Crafted - registered names of the LLC).

By booking our services, renting our equipment, or purchasing custom products, you agree to the following terms and conditions.

Terms & Conditions - AH Events

By entering into an agreement with AH Events (the "Lessor" or "Contractor"), the Lessee (the "Client") agrees to the following terms and conditions governing the rental of equipment and provision of services.

 

1. Booking and Financial Terms

  • Deposit: A security deposit is required at the time of signing to secure the requested term. This deposit is applied toward the total rental amount.

  • Balance Due: The remaining balance must be paid in full by Noon on the day of the event.

  • Payment Method: Deposits and final payments should be made via method in contract.

  • Contract Expiry: If a completed contract is not returned before its expiry date, an additional $50 fee will be charged for the generation of a new contract.

 

2. Cancellation and Refunds

  • Standard Cancellation: Written notice must be provided at least 30 days prior to the term for a full refund.

  • Late Cancellation: Requests made within 30 days of the term result in the forfeiture of the deposit.

  • Non-Refundable Material Costs: Once materials or supplies required for setup (such as vinyl) have been purchased specifically for the event, these costs are non-refundable and will be deducted from any payments made, regardless of when the cancellation occurs.

 

3. Delivery and Installation Requirements

  • Venue Permission: The Client is responsible for verifying and receiving permission from the Venue for equipment installation. AH Events is not accountable if a Venue denies delivery or installation.

  • Surface Preparation: For vinyl installations, the Client must ensure the Venue provides a dance floor surface that is clean, flat, and properly secured prior to the scheduled installation time; unless otherwise specified in contract.

  • Pickup Logistics: The Client must ensure the Venue has allotted at least one hour after the event for equipment pickup.

  • Delay Penalties: If equipment is not made available for pickup at the end of the term, the Client is subject to a penalty of $500 per day or $100 per hour, whichever is less.

4. Usage and Safety Guidelines

  • Permitted Use: Equipment must be used only for its designed purpose and in a careful manner.

  • Prohibited Substances: Food, liquids, sharp objects, and hazardous materials are strictly prohibited on flooring and equipment.

  • Tuk-Tuk / Auto Rickshaw Specifics: A maximum of 3 people or 600 lbs. is permitted on the equipment at any time. Running, jumping, or playing on the equipment is prohibited.

  • Glass Floor Specifics: A maximum of 2 people or 500 lbs. is permitted on glass equipment at any time. Running, jumping, or playing is prohibited.

5. Liability, Damage, and Insurance

  • Risk of Loss: The Client is responsible for risk of loss, theft, damage, or destruction to the equipment from any cause after installation.

  • Repair Fees: For repairable damage, the Client agrees to pay $100 per square foot for repairs, not to exceed the "Casualty Value" (market value) of the equipment.

  • Total Loss: In the event of a total loss, the Client must pay all unpaid rent plus the full Casualty Value.

  • Insurance: If the rental term exceeds one day, the Client must maintain insurance covering the full replacement value of the equipment, naming AH Events as the loss payee.

 

6. Content and Advertising Rights

AH Events retains all rights to photograph, video, and record sound of the equipment and venue during the term/event for advertising and social media purposes. The Client waives any right to compensation or approval of this content.

This agreement is governed by the laws of the State of Illinois.

Terms & Conditions - AH Crafted

This space is where thoughtful design meets skilled craftsmanship, and each project is "Custom by Design, Crafted by Hand." By commissioning a bespoke build, prop, or keepsake decor, the Client agrees to the following terms:

 

1. Quotes and Booking

  • Quote Validity: All quotes issued by AH Crafted are valid for 10 calendar days from the date issued. Pricing, availability, and terms are subject to change after this period unless a deposit is received to secure the booking.

  • Confirmation Deposit: A 50% deposit is required to confirm a booking and move the project into the design and production phase.

  • Final Payment: The remaining balance is due in full at the time of pickup or delivery.

 

2. Payments

  • Accepted Methods: Payments are accepted via pre-agreed methods.

  • Taxes: Sales and/or use tax is included where required.

 

3. The Bespoke Build Process

  • Intentional Design: Each piece—including custom signage, carts, and backdrops—is made with intention and built to last.

  • Each piece is precision-fabricated with various types of wood, depending on the project.  As a natural organic material, minor variances in grain, texture, or edge absorption may occur. These are not considered structural defects but rather characteristics of the artisanal fabrication process.

  • Non-Refundable Materials: Once materials or supplies required for a bespoke build have been purchased, those costs are **non-refundable** and will be deducted from any payments made, regardless of project changes or cancellations. The Client acknowledges these purchases are made specifically for their project and cannot be repurposed.

  • Design Approval: For custom builds, digital proofs or sketches may be provided. Approval of these proofs constitutes a final order for production.

 

4. Equipment Usage and Care

  • Proper Manner: The Client is responsible for ensuring that custom props and equipment are used in a good and careful manner.

  • Prohibited Substances: To preserve the integrity of the build, liquids, foods, sharp objects, and hazardous materials that can scratch, tear, melt, or destroy the material are not permitted on the equipment.

  • Safety: It is the Client's responsibility to ensure guests use the equipment properly to avoid injuries and claims.

  • Our modular systems are designed for intuitive setup via a secure connection. Failure to properly align and lock these components as intended may compromise the structural integrity of the build. AH Crafted assumes no liability for damage or injury resulting from improper assembly or unauthorized modifications to the interlocking system.

 

5. Liability and Damage

  • Casualty Value: "Casualty Value" refers to the market value of the equipment at the end of the term.

  • Loss and Damage: The Client is responsible for the risk of loss, theft, damage, or destruction of the equipment from any cause.

  • Repair Fees: If equipment is returned in a state requiring repair, the Client will reimburse the actual expense of those repairs. Repairable damage may be billed, not to exceed the Casualty Value.

  • Total Loss: In the event of a Total Loss, the Client must pay the full Casualty Value.

  • We require that all arches/props be secured with appropriate weight/ballast (sandbags or base weights) when in use, especially in high-traffic areas or outdoor environments. We are not liable for structural failure due to improper weighting or environmental factors such as wind.

  • By utilizing our products, the client assumes all risk associated with transport, setup, and public display. We shall not be held liable for any incidental, consequential, or physical damages arising from the use or misuse of our installations.

 

6. Marketing and Intellectual Property

  • Media Rights: AH Crafted retains all rights to produce, reproduce, edit, and publish photos, videos, and sound recordings of the custom builds and venue during the term for advertising and social media documenting.

  • Waiver: The Client waives any right to compensation, royalties, or the right to approve or disapprove content produced by AH Crafted.

  • The proprietary patterns are the exclusive intellectual property of AH Crafted. Unauthorized reproduction, digital scanning, or third-party fabrication of these designs is strictly prohibited and protected under copyright law.

  • Design Release & Exclusivity

    • By default, AH Crafted retains ownership of all custom fabrication files. Clients may opt to purchase an Exclusive Design Release (12 Months) for a fee a 50% surcharge of project.

    • What this covers: This prevents AH Crafted from reproducing the exact digital design file and cut path for any other client for a period of 12 months.

    • What this does NOT cover: This does not prevent AH Crafted from building items of similar height, general geometric shapes, or standard architectural styles for other clients, provided they utilize a different digital design file.

7. Governing Law

This agreement is governed by the laws of the State of Illinois. 'We' in this context refers to AH Crafted.
